Terms & Conditions of Enrolment – Non-Accredited Courses

1. Enrolment & Selection

a) It is the student’s responsibility to read the WSI website and course information documentation to determine the delivery mode for the course and note any seminar or workshop dates, times and locations as advertised. If you are not sure of a course delivery mode, please contact Wellbeing Science Institute Pty Ltd (WSI) prior to enrolling.
b) WSI will communicate important information about courses to Student’s via the email address provided on the enrolment form. This includes confirmation of enrolment, course reminders and where applicable, changes to course information or schedules, Zoom links and access to course materials. it the student’s responsibility to confirm they able to receive emails from WSI and to resolve any issues posed by employers IT/Email policy may pose. It is the student’s responsibility to provide WSI with up-to-
date contact information.
c) All online seminars will be delivered in real – time via zoom. Student’s will be sent instructions on how to join the seminar a minimum of 24 hours before it starts. It is the student’s responsibility to ensure that they have a stable internet connection and to test the computer set-up prior to the seminar commencement.
d) It is the student’s responsibility to notify WSI if they have a medical condition or disability or require assistance in their training.

2. Course Fees, Payments and Refunds

a) Please refer to the Wellbeing Science Institute website and / or course information document for an outline of all course fees.
b) The terms and conditions for company enrolments are the same as individual course participants. Please be aware that payment is required in FULL before attendance at the course. If an invoice is outstanding three (3) business days before the start of the course, WSI reserve the right to cancel a student’s enrolment.
c) A refund may be made in the following circumstances:
i. A Student is enrolled in training that has been cancelled by WSI
ii. A Student advises WSI that they are withdrawing from the course no later than 2 weeks prior to course commencement
iii. If the student withdraws from a course or program, prior to course commencement, due to illness or extreme hardship
iv. In the event that the WSI fails to provide the agreed services
d) A request for a refund after the commencement of a course will be at the discretion of Wellbeing Science Institute Pty Ltd
e) Students are entitled to receive a Statement of Attainment upon completion of the course or program.
f) Students are responsible for the safe storage of their Statements of Attainment. If a student requires a reissue of their Statement of Attainment, a certificate/statement re-issue fee of $80 will be charged.

3. Cancellations and Transfers

a) Courses with low enrolments may be cancelled.
b) Requests from a student to transfer or credit their course placement due to changed personal circumstances will be considered and every effort will be made to ensure a placement into an alternative course (where applicable).
c) If a student is unable to complete a course, due to changed personal circumstances, WSI will make every effort to ensure they are placed into an alternative course (where applicable).
d) WSI reserves the right to decline admission to a course, terminate a student’s enrolment in a course or change a Trainer/Assessor at any time without notice.

4. Cooling Off Period

Wellbeing Science Institute Pty Ltd protects the rights of the learner including but limited to the Statutory requirements for cooling-off periods. Students are eligible to cancel their enrolment by placing a formal notice of cancellation in writing to WSI via email within 10 business days of enrolment, unless the student has already commenced the training. Please refer to the Refund policy for process on acquiring a refund.

5. Changes to Agreed Services

Where there are any changes to the agreed services thatwill affect the student, including in the event of  Wellbeing Science Institute Pty Ltd closing down, WSI will advise the learner as soon as practicable. This includes changes to any new third-party arrangements or a change of ownership or any changes to existing third-party arrangements.

6. Fee Protection

Wellbeing Science Institute Pty Ltd requires a minimum deposit, which will not exceed $1,500 per individual student, to complete enrolment. If the full course fees are less than $1,500, the full fees are required to complete enrolment. Please refer to the Wellbeing Science Institute website and / or course information document for an outline of all course fees. Following course commencement, the balance of course fees for training and other services yet to be delivered will be required to be paid by either:
• if remaining fees are more than $1500 – the payment plan as defined in the course information document;
or
• if the remaining fees are below $1500 – in full. An invoice will be issued to students accordingly.

7. Consumer Guarantee

Wellbeing Science Institute Pty Ltd guarantees that the services provided will be:
• provided with due care and skill
• fit for any specified purpose (express or implied)
• provided within a reasonable time (when no timeframe is set for the training).

8. Complaints and Appeals

If a student is experiencing any difficulties, they are encouraged to discuss their concerns with Senior Management. Wellbeing Science Institute Pty Ltd administrative staff will make themselves available at a mutually convenient time if a student wishes to seek assistance. If a student wishes to make a formal complaint, they are required to complete a Complaints and Appeals Form, which is available on request. Once the form has been completed, the form should be submitted to WSI for actioning. Please refer to the Student Handbook for more details on the complaints and appeals process.

9. Language, Literacy and Numeracy (LLN)

LLN support is available to provide students with advice and support services in the provision of language, literacy and numeracy assessment services. Students are encouraged to express their learning needs at enrolment when completing the course enrolment form. WSI can provide students with support to assist the student throughout the learning process.

10. Support Services

Wellbeing Science Institute Pty Ltd caters to diverse client learning needs and aims to identify and respond to the learning needs of all clients. Students are encouraged to express their views about their learning needs at all stages of their learning experience from the initial enrolment and course commencement through to course completion, by contacting their Course Facilitator or other WSI staff. Wellbeing Science Institute Pty Ltd is committed to providing students requiring additional support, advice or assistance while training.

11. Intellectual Property

The student acknowledges that course materials supplied are secured by copyright and remain the property of Transfirmation Partners Pty Ltd, who are the parent company of WSI. The materials are for the exclusive use within the course and are not to be used for conducting commercial wellbeing education and training, without the written permission of the course owner, Transfirmation Partners Pty Ltd.

12. Legislative and Regulatory Requirements

The student acknowledges that they must observe Wellbeing Science Institute Pty Ltd’s policies and procedures, according to State and Federal Government legislative and regulatory requirements, as set out in the Student Handbook.

13. Privacy Protection

Wellbeing Science Institute Pty Ltd respects the importanceof securing any form of personal information  which is collected from the student(s) and/or other Stakeholders. In collecting personal information WSI will comply with the requirements of the Australian Privacy Principles (APPs) set out in the Privacy Act 1988 (Cth) as amended by the Privacy Amendment (Enhancing Privacy Protection) Act 2012 (Privacy Act). Information collected from students is only utilised for the purpose of gathering information on the student as part of their enrolment, training, assessment and certification process. WSI does not disclose personal information other than for the purpose for which it was collected, or an individual has consented to a secondary purpose, or an individual would reasonably expect this (such as receiving communications about upcoming events), or if required by law. WSI respects an individual’s right not to receive marketing material and provides an option within communications and on its website for individuals to unsubscribe from receiving marketing material. WSI takes active steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. Access to our Student Management System is protected through user log-on and password, and assignment of user access rights. As a Registered Training Organisation (RTO), Wellbeing
Science Institute Pty Ltd has an obligation under Commonwealth and State legislation to provide information to certain government departments for the purpose of reporting data to the government. On occasion, the government regulatory body will require access to student records for the purpose of auditing an RTO against the Standards for RTO’s. WSI does not sell any information to third parties for marketing purposes.

14. Privacy Notice

Under the Data Provision Requirements 2012, Wellbeing Science Institute Pty Ltd is required to collect personal information about you and to disclose that personal information to the National Centre for Vocational Education Research Ltd (NCVER). Your personal information (including the personal information contained on this enrolment form), may be used or disclosed by Wellbeing Science Institute Pty Ltd for statistical, administrative, regulatory and research purposes. Wellbeing Science Institute Pty Ltd may disclose your personal information for these purposes to:
• Commonwealth and State or Territory government
departments and authorised agencies; and
• NCVER.
• Personal information that has been disclosed to NCVER may be used or disclosed by NCVER for the following purposes:
• populating authenticated VET transcripts;
• facilitating statistics and research relating to education, including surveys and data linkage;
• pre-populating RTO student enrolment forms;
• understanding how the VET market operates, for policy, workforce planning and consumer information; and
• administering VET, including program administration, regulation, monitoring and evaluation.
You may receive a student survey which may be administered by a government department or NCVER employee, agent or third-party contractor or other authorised agencies. Please note you may opt out of the survey at the time of being contacted. NCVER will collect, hold, use and disclose your personal information in accordance with the Privacy Act 1988 (Cth), the National VET Data Policy and all NCVER policies and protocols (including those published on NCVER’s website at www.ncver.edu.au).
